Mid-Year Maintenance Checklist Every Property Manager Should Use

Managing a multifamily property is a nonstop job, and halfway through the year is the perfect time to hit pause, check in, and make sure everything is running as it should. A solid mid-year inspection doesn’t just help you avoid surprise repairs; it also keeps your budget on track, your tenants happy, and your property performing at its best.

Here’s an easy checklist to help you stay ahead:

1. Review the Past 6 Months of Utility Bills

Go back to January and take a look at your property’s water, electric, and gas usage. Do you notice any spikes, irregular billing patterns, or steady increases? Utility overages are often the first red flag that something behind the scenes needs attention.

2. Walk the Property for Leaks

Do a full walkthrough of the property. Check sprinklers, outdoor spigots, interior faucets, and toilets. A single dripping faucet can waste hundreds of gallons a month. Catching these small issues now prevents major costs later (especially in the heat of summer when usage climbs!).

3. Compare Unit-by-Unit Usage

If you have submeters or access to individual usage data, compare each unit. Is one unit using significantly more water or energy than the others? That could signal a hidden leak, broken appliance, or misuse. 

4. Inspect Your Meters

Are your water, gas, and electric meters working properly? Can they be read easily? Outdated or faulty meters often lead to billing errors, either overcharging or undercharging. 

5. Give Your Tenants a List of Summer Utility Tips

Sharing quick seasonal reminders with your residents can help reduce overall utility usage across the property. Encourage tenants to take shorter showers, run dishwashers and laundry with full loads, and report any leaks or running toilets right away. Every little bit adds up,  especially during peak heat.

6. Organize Utility Usage Data for Budget Season

Year-end budget planning will be here before you know it. Start organizing your usage data now: 

  • Track monthly trends
  • Spot high-use areas
  • Flag unexpected charges.
